About This Opportunity

We are seeking a Proposal Coordinator who is responsible for helping the Customer Engagement team deliver high-quality, winning proposals to meet our sales goals. The Proposal Coordinator assists in the areas of RFX discovery and assessment, project management, research, and writing. The Proposal Coordinator balances workload with the Proposal Manager to lead certain proposals and support other high-effort opportunities. Other duties include gathering information from internal teams and subcontractors to support proposal development; organizing, tracking, and planning each proposal effort; and following detailed checklists to ensure proposal-related input and updates are collected from and distributed to individuals throughout the process. The Proposal Coordinator also facilitates interview and contract negotiation efforts for successful proposals.

What You Will Be Doing:

  • Maintain and update credentials for various online procurement platforms, signing Cascade up for RFX (Request for Abstract, Proposal, Qualifications, and Information) updates from various sources and regularly checking other websites manually for relevant opportunities.
  • Review, assess, and disseminate RFX details to proposal teams, which involves absorbing and summarizing relevant information from often complex and lengthy documents.
  • Support proposal teams by scheduling regular meetings, developing agendas, taking notes, and following up on action items.
  • Provide proposal development leadership or support. Assist with or lead content development, which can involve drafting proposal sections based on a combination of existing sample text; past proposals; meeting notes; market research; metrics from our Project Management and CRM systems; interviews with staff and subcontractors; and source documents such as business plans, annual reports, and market studies.
  • Coordinate with internal Cascade teams, including Legal and Design, for proposal-related deliverables such as contract reviews and proposal graphics.
  • Coordinate with business analyst to develop proposal budget in line with RFX guidelines and incorporate budget information into proposal documents.
  • Work with Cascade subcontractors to obtain required information, coordinate non-disclosure and teaming agreements, and facilitate their proposal contributions.
  • Contribute to high quality written proposals by reviewing, editing, proofreading, and ensuring proposals are compliant with RFX requirements and protect proprietary client information.
  • Archive proposal materials into SharePoint systems to support future content development.
  • Assist in record-keeping: ensuring updates, notes, contacts, and documentation are appropriately recorded in various systems, including SharePoint and CRM systems
  • Facilitate post-proposal activities including supporting answers to follow-up questions, interviews, presentations, and contract negotiations.
  • Act as the point of contact between Cascade and client during the contract negotiation process, including scheduling contract negotiation meetings, leading internal review of contract documents, and managing the negotiation timeline to ensure Cascade responds to client requests in a timely manner.
  • Manage recurring meetings between Customer Engagement and other teams to discuss business development opportunities and other topics. Proposal Coordinator schedules meetings, creates agenda documents, takes notes, and follows up on action items.

This is a full-time, exempt position to be located in either the Mountain or Pacific Time Zones with occasional visits to the Portland office or other Customer Engagement gatherings.

Qualifications

Applicants for this role are required to have:

  • Bachelors Degree in Marketing, Communications, Journalism, or related field
  • Experience writing and editing proposals, grants, or other business development content
  • A minimum of 3 years of related experience, preference working in a consulting environment

A successful candidate should also demonstrate these preferred characteristics and/or skills:

  • Experience working with energy efficiency programs
  • Excellent verbal and written communication skills; this includes knowledge and understanding of The Chicago Manual of Style (CMOS) style guide
  • Ability to edit content written by multiple parties into a streamlined, cohesive, and compliant document
  • Strong interpersonal skills and ability to work independently or as part of a team
  • Proficient with the Microsoft Office Suite. Intermediate to advanced knowledge of MS Word, including familiarity with the use of styles and document formatting. Previous experience with a CRM and PDF software is preferred.
  • Ability to manage multiple priorities in a fast-paced consulting environment

Compensation & Benefits

Our total rewards include competitive pay and excellent benefits. These include health (90% paid for team member, 70% paid for dependents on HDHP plans and 85% paid for team member, 65% paid for dependents on PPO plans), vision, FSA or HSA options with an employer contribution, life insurance, short- and long-term disability insurance, paid parental leave, 401k retirement plan with a guaranteed 3% contribution, Employee Stock Ownership Program (ESOP), annual cash performance bonus, paid vacation, sick time, and an inclusive, flexible paid holiday policy. New for 2024 we are excited to add an additional wellbeing contribution of $500 for HSA, FSA, or LSA (Lifestyle Spending Account).

The salary range for this position based in Portland OR is $63,300 – $73,900/year. However, final salary offered may vary depending on non-discriminatory factors such as job-related knowledge, skills and experiences, and geographical location if different than the above.
