About The Role

We are actively seeking an experienced and highly skilled Executive Assistant to provide support to our CEO and executive leadership team. This pivotal role demands a dynamic professional with a proven track record in executive assistance, showcasing exceptional planning, coordination, communication, attention to detail, and collaboration skills. As a key contributor to executive efficiency and organizational excellence, you will play a crucial role in our mission-driven company.

Reporting directly to the CEO, the Executive Assistant will also support logistics for our global leadership team, spanning across geographies, time zones, and diverse cultures. The selected candidate, strategically located in the Boston area, will occasionally travel to our various locations worldwide.

What You Will Be Doing

Strategic Calendar Management: Oversee and strategically manage the CEO’s calendar, prioritizing commitments and optimizing schedules. Facilitate complex travel arrangements and logistics.

Executive Communication: Serve as the primary liaison for executive-level communications, exercising discretion and professionalism. Draft and edit high-level correspondence, reports, and presentations.

Leadership Meeting Coordination: Coordinate and orchestrate executive-level meetings, ensuring seamless logistics and preparation. Spearhead the creation of agendas, meeting materials, and post-meeting documentation.

Collaborative Partnerships: Cultivate and maintain positive relationships with internal and external stakeholders. Collaborate effectively with senior leadership and professionals across multiple time zones and cultures.

Strategic Project Support: Provide strategic support for key projects, conducting research, analyzing data, and preparing executive-level presentations. Contribute to the planning and execution of high-profile initiatives.

Confidential Documentation Management: Maintain meticulous records and files, upholding the highest standards of confidentiality.

Problem Resolution Leadership: Proactively identify challenges, implement solutions, and provide leadership in resolution efforts.

Participation in Special Projects and Events: Assist with special projects and events as required to achieve our business goals.

What You Will Need to Be Successful

Experience: Demonstrated success supporting executive leadership at a company with 1000+ employees.

Education: Bachelor’s degree or equivalent work experience.

Technical Proficiency: Advanced proficiency in MS Office suite; familiarity with collaboration and project management tools (e.g., Jira, Confluence).

Organizational Mastery: Exceptional organizational and multitasking skills.

Communication Expertise: Superior written and verbal communication skills.

Strategic Collaboration: Demonstrated ability to collaborate strategically at the executive level.

Cross-Cultural Collaboration: Ability to work effectively across time zones, countries, and various cultures.

Ability and Availability to Travel: Ability and availability to travel locally and internationally on occasion.
