Position Description

Advanced Energy United (United) is seeking an events and membership professional to support its engagement strategy. Working with considerable independence, this position will report to the Managing Director of Engagement, and work collaboratively across functions at United, as an in-house resource for staff in meeting administration, event coordination and member engagement administration.

Responsibilities

  • Serve as the staff events coordinator for United member meetings and events, which include workshops and executive forums, lobby days and member engagement events, board meetings and United’s annual Leadership Forum. Activities include coordinating site selection logistics, managing event registration platforms, working with venues to determine room layout, catering, A/V and other logistics, serving as the point person for members and speakers regarding event logistics, and other event duties as needed.
  • Provide on-site event management support at up to five in-person events per year.
  • Maintain accurate database records for event and meeting participation, including processing event registration fees and sponsorships, ensuring membership database accuracy for meeting and event participation, and producing event reports as needed.
  • Support the administration of member Working Group meetings (on Zoom Webinar) providing training to both members and staff to ensure participation goals are met.
  • Support United’s Engagement Principal, in membership database maintenance and where needed assist with outreach and management of member relationships, including responding to member inquires and/or redirects questions to appropriate staff.

Required Qualifications

  • Exceptional organizational, planning, and time-management skills, and meticulous attention to detail and quality.
  • 0-3 years of experience, ideally related to event management, membership administration, nonprofit administration, or executive administration.
  • Excellent written and oral communications skills
  • Experience in database management, CRMs, and with Microsoft Office Suite of applications, including Word, Excel, SharePoint, Microsoft Forms, Outlook, etc.
  • Zoom Meeting and Zoom Webinar administration a must.
  • Resourceful and flexible, with a willingness to do what it takes to get the job done; respectful of others and consummate team player; sense of humor.
  • Ability to demonstrate initiative and problem solving, to be a self-starter, and to maintain focus in a fast-paced environment
  • Excellent interpersonal skills, willing to provide excellent internal and external customer service and ability to work productively with remote teams
  • Ability to travel up to 20%

Job type: Full-time; regular; residence in the U.S. required

Location: Remote (preference for candidates in New England, NY or D.C.)

Salary: starting at $56,000 annually

Start Date: March 2024
